Privacy & Cookie Policy
This website itself sets no cookies and uses no analytics. The cookie sections below cover our booking engine, where you complete your booking. TODO Add our ICO registration number when it arrives (application C2070724).
Whitstable Apartments and our Margate apartments are operated by Oyster Management Ltd. This policy explains what personal information we collect when you book with us, why we collect it, who we share it with, and what rights you have over it.
Who we are
Oyster Management Ltd is the data controller for the information described in this policy. We are a company registered in England and Wales, company number 17308394, registered office at 30 Magnolia Avenue, Cliftonville, Margate, England, CT9 3DX.
You can contact us about anything in this policy at oystermanagementltd@gmail.com
What we collect
When you make or enquire about a booking, we collect your name, email address, telephone number, postal address, the names and number of people staying, your booking dates and the property you have chosen, and any requests or messages you send us.
When you pay, your card details are entered directly into our payment provider's system. We do not see or store your full card number. We receive confirmation that payment succeeded, the last four digits, and the card type.
When you use our website, we collect your IP address, the type of device and browser you are using, and how you moved through the site. This comes from cookies and similar technologies, described below.
If you stay with us, we also hold the records of your stay: messages, any issues reported, and anything we need for safety or legal reasons.
Why we use it, and our lawful basis
To take and manage your booking, give you access to the apartment and deal with you before, during and after your stay, we rely on performance of our contract with you.
To run the business properly, keep our properties secure, prevent fraud, improve our service and deal with complaints or disputes, we rely on our legitimate interests. We have considered your rights and do not believe this use affects them unfairly.
To meet our obligations on tax, accounting, health and safety and the prevention of crime, we rely on legal obligation.
To send you marketing about future stays, we rely on your consent, or on the soft opt-in where you have booked with us before. Every marketing message has a way to stop receiving them, and you can opt out at any time by replying or contacting us.
We do not sell your personal information to anyone.
Cookies
A cookie is a small file a website puts on your device so it can recognise it again.
Strictly necessary cookies make the site work: keeping you logged in, holding the contents of your booking while you complete it, and keeping payment secure. The site cannot function without them, so they are always on.
Analytics cookies tell us how many people visit, which pages they use and where they give up. We use this to fix what is not working. These are only set if you agree.
Marketing cookies may be used to show you our adverts on other sites and to measure whether they worked. These are only set if you agree.
You can accept or reject the optional cookies when you first arrive, and change your mind at any time through your browser settings. Blocking strictly necessary cookies will stop the booking process working.
Who we share it with
- Our property management and booking system, which stores your booking and our messages with you.
- Our payment provider, which processes your card payment.
- The booking site you came through, if you booked through Airbnb, Booking.com or a similar site, under their own terms.
- Our cleaners and maintenance contractors, where they need to know a name, a date or a contact number to do the job.
- Our accountant, insurers and professional advisers.
- The police or another authority, where we are required to provide information by law.
Each of these only receives what they need. We do not give anyone your information to use for their own marketing.
Information sent outside the UK
Some of our suppliers, including our booking system, store or access data outside the United Kingdom. Where that happens, we rely on the UK's adequacy regulations or on standard contractual clauses approved for use in the UK, so your information keeps the same protection it has here.
How long we keep it
We keep booking and payment records for six years after the end of the tax year they relate to, because HMRC requires it. Messages and stay records are kept for up to three years after your stay, so we can deal with any complaint or claim. Marketing consent is kept until you withdraw it. Anything we no longer need is deleted or anonymised.
Your rights
Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to have information deleted where there is no good reason for us to keep it, to object to or restrict how we use it, to withdraw consent where we relied on it, and to receive certain information in a portable format.
To use any of these rights, contact us at oystermanagementltd@gmail.com. We will respond within one month. There is no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113.
Changes
If we change this policy we will post the new version here with a new date.
